Thank you for your commitment and willingness to be a part of the Fall 2024 Commencement, happening at 10 a.m. on Saturday, December 14, 2024 at the University Credit Union Center (a.k.a. U Center or UCUC, and formerly known as the ARC Pavilion). Your support is greatly needed and appreciated. As of today, we have approximately 620 graduates and expect to host approximately 4,500 guests.

Ambassador Overview/Assignment Details

UCUC Greeter Outdoors

This energetic team of greeters are stationed outdoors surrounding the University Credit Union Center. They will welcome the crowd and provide directions to both graduates and guests. 

  • Direct graduates and guests to the appropriate entrances 
  • Remind graduates and guests of UCUC Prohibited Items 
  • Direct ticketing issues to the Box Office at the NE concourse level entrance (close to Peet’s) 
  • Liaison between Commencement and UCUC staff as needed

UCUC Greeter Indoors (UCUC Concourse Level)

This team is stationed indoors on the concourse level of the University Credit Union Center and provides guests with a Commencement Fan and directs them to the QR code to download the online program.

  • Distribute Programs/Fans 
  • Direct and assist limited mobility guests as needed
  • Requires standing/walking

Card Checker

  • Final check for name cards prior to graduates lining up to cross the stage
  • Remind students about hand sanitizer
  • Cue students on how to pass name card to reader
  • Requires standing/walking indoors
  • Assist with recessional

Stage party escort (UCUC Special Events Room)

15 minutes prior to the start of the ceremony, the stage party escort wil  gather stage party members for the pre-ceremony photo on the main floor. Following the photo the escort will lead them to the processional area. 

  •  Lead Stage party to stage/platform during processional 
  •  Liaison to commencement lead for processional timing
  •  Requires standing/walking indoors

Stage Runner

  • As needed to hand certificates, awards, degrees, etc. on stage 

Grad Check-In (SE tunnel of UCUC)

This role will scan Grad Cards as graduates enter the UCUC via the SW tunnel. Graduates without a Grad Card will be directed to the Grad Help Desk for assistance. On-site training will be provided.

  • Scan graduate cards upon arrival
  • Directing card issues to the Grad Help Desk
  • Requires standing  indoors

Exit Checker

  • Congratulate graduates
  •  Direct them to stop at the photo station before returning to their seats
  •  Liaison to commencement lead for any issues that may arise
  •  Requires standing/walking indoors
  • Assist with recessional

 

Mobility Stop Greeters

  • Direct guests and graduates with mobility needs to Mobility Shuttle 
  • Requires standing/walking outdoors
  • Liaison between Commencement and UCUC staff as needed

Grad Greeter (SE tunnel of UCUC)

The Grad Greeters will assist with robe check, remind grads of prohibited items, and confirm each graduate has their Grad Card prior to entering the UCUC. Graduates that do not have their regalia will be directed to the on-site pick-up location.

  • Robe & Card Checks as graduates arrive
  • Graduates who still need to pick up a cap and gown rental can pick up at Meeting Room 2 in the ARC.
  • Liaison to commencement lead for graduates with mobility issues or special circumstances
  • Requires standing/walking

Scroll Passer

  • Hands out a UC Davis Commemorative Scroll
  • Requires standing indoors

Aggie Arena Floor (UCUC Main Floor Robe Required)

Doors open for graduates 60 minutes prior to the ceremony, this role will welcome graduates as they enter the arena floor, assisting graduates with their cap and gowns or stoles as needed. 15-20 minutes before the ceremony, all graduates should be seated, and remain seated until instructed. This role will also assist with graduate movement when the time comes for them to cross the stage and return to their seats.  

  • When doors open, help direct graduates to their seats (and as needed)
  • General customer service and enthusiasm to make the most of the graduate’s wait time
  • Liaison to commencement lead for graduates with mobility issues or special circumstances
  • Make sure the rows are complete and full and graduates remain seated until instructed.

Ambassador Room Attendant (UCUC Racquetball Room#1)

The Ambassador room attendants will provide general information to all ambassadors. They will check-in/out ambassadors and provide them with their name tags, lanyards, t-shirts and answer general questions. 

  • Check-in Ambassadors as they arrive and distribute name tags, lanyards, and t-shirts  Update commencement lead on staffing changes/no-shows
  •   Collect supplies as they are returned
  •  Requires walking/sitting indoors

Stage Party and Faculty Regalia (UCUC Special Events Room)

The Stage party and Faculty Regalia Team will greet campus leadership and faculty as they arrive in the Special Events room and will assist them with their regalia. Confirm role (Stage Party or Faculty participant) 

  • Assist with regalia dressing for Faculty and Stage Party (steaming, pinning of caps)
  • Liaison to commencement lead for any changes/no-shows
  • Require some walking indoors 

ARC Lobby Greeters

  • Direct graduates who still need to pick up a cap and gown, Meeting Room 2
  • Direct ticketing issues to the Box Office at the NE concourse level entrance (close to Peet’s) 
  • Liaison between guests and UCUC staff as needed

Grad Help Desk (UCUC Main Floor)

This role will provide grad card assistance to graduates who need a Grad Card printed on-site. This role also requires use of your personal cell phone to enable the DUO authentication. On-site training will be provided. Assist with setting up signage/tables/printers and scanners for grad check-in and around the UCUC.

  • Responsible for printing out name cards that were NOT printed ahead of time or were forgotten
  • Liaison to commencement lead for graduate registration issues or concerns 
  • Requires sitting indoors

Photo Pacers

  • Pace for 1st photographer
  • Pace at exit for 3rd photographer
  • Assist with recessional

Aggie Special Guest Greeters (UCUC Section 212)

The Aggie Special Guest Section Greeters will be stationed at Section 212 (near the SW entrance) and will ensure only designated guests are permitted to sit in this area. When the ceremony begins, aggie special guest section greeters will work in collaboration with the Stage Support Team to escort any special guests/VIPs to and from the arena floor as needed. 

  • Responsible for placing seats on signs for special guests 
  • We will hold the seating for the guests up to 15 minutes prior to start time 
  • Liaison between the special guests and UCUC staff as needed
  • Requires standing/walking

Seaters/Recessors/Spotters

  • Congratulate graduates
  • Ensure graduates return to their seats along the designated return path
  • Assist with recessional

Faculty escort (UCUC Special Events Room)

15 minutes prior to the start of the ceremony, the faculty escort will gather faculty for the pre-ceremony photo on the main floor. Following the photo the escort will lead them to the processional area.

  •  Lead faculty to front rows during processional 
  •  Liaison to commencement lead for processional timing
  •  Requires standing/walking indoors
