Ceremony Prep and Breakdown

CEREMONY PREP & BREAKDOWN ROLES

To support smooth and successful Commencement ceremonies, designated Prep and Breakdown teams assist with setting up key areas before the event and resetting spaces afterward.

CEREMONY PREP (6:30AM/12PM)

Prep teams ensure all spaces are ready prior to guest and graduate arrival.

  • Concourse Prep
    • Assist with setting up signage and materials throughout the concourse
    • Ensure all items are placed correctly before doors open
    • Open and organize supply boxes
    • Support any last-minute adjustments
  • DOCO Plaza Prep
    • Assist with setting up signage and materials in DOCO Plaza
    • Support sign installation and placement
    • Ensure all areas are guest-ready prior to arrival
  • Floor Prep
    • Assist with setting up the arena floor (chairs, signage, staging)
    • Ensure all elements are in place before the ceremony begins
    • Support last-minute changes as needed
  • Lounge(s) Prep (Assembly & Rush)
    • Assist with morning set-up in Assembly and Rush lounges
    • Organize materials, supplies, and check-in areas
    • Ensure lounges are clean, stocked, and ready

CEREMONY BREAKDOWN (11AM/4:30PM)

Breakdown teams help efficiently reset the venue following the ceremony.

  • Concourse Breakdown
    • Assist with removing signage and materials from the concourse
    • Collect and organize supplies for storage
  • DOCO Plaza Breakdown
    • Assist with removing signage and materials from DOCO Plaza
    • Support breakdown and organization of all set-up elements
  • Floor Breakdown
    • Assist with cleaning and resetting the arena floor
    • Organize materials and support final wrap-up tasks
  • Lounge(s) Breakdown (Assembly & Rush)
    • Assist with cleaning, packing, and resetting lounges
    • Ensure all materials are collected and stored properly
    • Note: Sunday only

ADDITIONAL DETAILS

  • Roles require walking and light to moderate lifting
  • Team members should be prepared to assist where needed
